Traveling Mailbox vs VirtualPostMail: mail handling and check deposits

Traveling Mailbox and VirtualPostMail should be compared around the mail you actually receive. If the priority is regular scans, evaluate allowances. If it is a particular address-documentation requirement, evaluate the relevant product separately. If checks matter, examine the bank’s rules as well as provider fees.

This is a documentary comparison of public scope, not a speed test or a claim of personal use.

Ordinary mail versus specialized products

Traveling Mailbox’s pricing page presents scan-oriented monthly plans. VPM’s catalogue distinguishes Virtual Mailbox, TruLease and TruResidence. Comparing an ordinary mailbox with a lease product only by subscription price would compare different deliverables.

Choose the purpose first. For correspondence, compare receiving, scans, recipients, storage and forwarding. For documents needed by an institution, obtain that institution’s acceptance conditions and match the exact VPM product to them.

Neither an address name nor a lease document guarantees banking approval. Provide truthful residence and operating-location information where requested.

Scanning economics

Traveling currently lists Basic at $15 monthly with 40 incoming envelopes and 35 page scans, Extended at $25 with 100 envelopes and 80 pages, and Small Business at $55 with 200 envelopes and 180 pages. Confirm address and billing qualifications in checkout.

For VPM, open the selected mailbox plan and location rather than applying one catalogue figure to every product. Record included pages, request charges, overages and recipient allowances. Count a long document separately from the number of envelopes.

Use a hypothetical typical month and a busier one. The right plan can tolerate normal variation without requiring you to scan less than your business actually needs.

Check-deposit workflow

Traveling’s deposit page lists $4.95 per check plus postage and describes mailing to the bank. VPM’s page describes a base request charge, first-check inclusion, extra checks and shipping, and explicitly requires bank mail-in support and matching payees.

Calculate the actual batch: checks per account, requests and postage. Do not compare only a single per-check number with a request fee. Multiple checks for one account can create a different cost than several accounts.

Ask the bank about eligible checks, endorsements, address and funds availability. Provider dispatch is not bank clearance. Avoid depositing an image separately while the original is also being mailed.

Forwarding and original retention

Traveling’s published ordinary forwarding fee is postage plus $2 per shipment. For VPM, get the selected plan’s current handling and carrier quote. Packed size, destination and method affect the full amount.

Define which originals must be retained and which can be destroyed after scanning. Check physical-storage windows. A digital image is not automatically an adequate substitute for every document.

For international shipments, confirm carrier and destination restrictions. Do not assume every item can be sent anywhere because a service advertises global access.

Authorization and account control

The current USPS Form 1583 requires photo ID and separate address evidence. Follow personal or business instructions, confirm recipient names and wait for activation before redirecting important mail.

Define who may open, forward or destroy mail. If an assistant works in the account, document escalation rules for legal notices, payments and sensitive records.

Two worked decision scenarios

Consider a hypothetical solo founder receiving twenty envelopes a month, with thirty pages worth opening, one recipient and one shipment of retained originals. Traveling’s published Basic allowances would cover the stated envelope and page counts, before checking location qualifications and shipment cost. For VPM, price the same workload in the selected ordinary mailbox plan. Do not include a lease product unless the founder actually needs and has verified its documentation purpose.

Now consider a hypothetical business receiving several customer checks addressed to its legal entity. The decisive questions are whether the bank accepts mailed deposits, whether the payee matches, and how many checks go to each account. VPM describes request-based billing with a first-check inclusion, while Traveling describes a per-check fee plus postage. Ask VPM for the current request and extra-check amounts, then compare the full batch. Without that current quote, a claim that either is cheaper would be premature.

Switching without losing correspondence

If you already use one service, do not cancel it on the day you activate the other. Create a sender list, complete new authorization, test a letter and update the appropriate mailing fields directly. Banks and agencies may retain separate residential or operating-location details; preserve truthful information in those fields.

Inventory originals still held at the old service and decide what to ship, retain or destroy. Export important scans while access remains available. Ask about late-arriving mail, final forwarding, refunds and storage after closure. Postal forwarding should be checked against the applicable rules rather than assumed to bridge every provider change.

If registered-agent service is involved, coordinate the formal state appointment separately. Moving general correspondence does not itself replace an appointed agent. Record the new effective date before ending the old agent relationship.

My decision rule

Traveling is worth shortlisting for a scan-heavy routine that matches its published envelope and page allowances. VPM deserves consideration when its distinct products or deposit-request structure solve a verified requirement. Choose by the actual workload and institution requirements.
